January 2022 Newsletter: Introducing "Boards"

We're excited to announce "Boards", a new module in Workzone. Read on for the details about this exciting new feature and other enhancements we've made recently! 

Boards

Some projects follow a very simple workflow and don't need the details, dependencies, and reporting of a project plan in the Projects module.  A new module, Boards, lets you track work in a visual way, akin to moving sticky notes on a wall. Drag and drop "cards" to move a project or item from one "list" to another as it progresses. For most Workzone customers, Boards aren't a good substitute for the transparency and accountability of more thorough, integrated project plans, but they do provide a very useful alternative for certain teams (such as software development) that value speed and simplicity, prefer to work without dates, or are already comfortable with other board tools, like Trello. 

  • Boards are not enabled by default.  An administrator can enable them for your organization under Settings - Global - Features to display. The Boards module will show in the top navigation to the right of Projects.
  • Boards and projects are completely separate; there is no way to convert a project to a board or a board to a project. However, you can link from a project or a project request to a card on a board.
  • Board items with due dates are displayed on the To-Do List, but otherwise, board items do not currently show on any other project reports (such as time tracking, etc.). This is one of the significant factors to consider when choosing between using a board vs a project.

Other Enhancements

  • Making an individual task billable/non-billable. Previously, all tasks in a project were either billable or non-billable.  Now, billable/non-billable status is set at the individual task level, though there is still a default setting for all new tasks added to a project. 
  • Auto-insert new tasks into an existing dependency chain.  Learn more
  • Show task successors when hovering on the dependency cell for tasks with successors but no predecessors
  • Enhanced dashboards - click on item names on data overlays to go to the underlying item
  • The requests dashboard now paginates at 500 rows, significantly improving performance for those with large numbers of requests
  • Move multiple requests from one workspace to another from the requests dashboard
  • Link to "Close Approval" shows on the file row when all approvers have responded
  • Disable single or multiple users from the Users page (Settings) and Usage Summary report
  • Filter for multiple projects responsible for Status by Project report
  • Filter for "Project State Complete Date" on Project List
  • Many knowledge base articles now show inside Workzone, without having to leave the site

What We're Working On / Exploring Now [target release]

  • Change default "work" for new tasks. By default, new tasks have work of 8 hours. Companies can change default work to as little as 1 minute (requires Professional or Enterprise license) [Jan]
  • Branching/conditional logic for custom request forms. Certain questions only appear if the respondent provides specific answers to other questions. (requires Enterprise license) [Mar]
  • Tasks without dates. Allow tasks without start or end dates.  [Mar]
  • Threaded comments. Currently, each item has a single string of comments.  Frequently these comments can involve several distinct sub-topics and can be useful to group these sub-topics into their own "threads", so that related comments stay together. [May]
