Additional Features to Enable/Disable

There are a number of other additional customization options available. Only Administrators can set these defaults for your organization.

Email comments into Workzone

This setting is found in Comments under the GLOBAL section of the settings (gear icon) when viewing All Workspaces. Authorized users can add a comment to an item in Workzone by replying to an email notification, without having to log in to Workzone.

Edit comments

This setting is found in Comments under the GLOBAL section of the settings (gear icon) when viewing All Workspaces. When enabled, uses can edit their own comments.

Managers can view and edit project templates

This setting is found in Other Settings under the PROJECTS section of the settings (gear icon) when viewing All Workspaces. When enabled, Managers can view and edit all project templates.

Enable truncation of Notes/Description fields

This setting is found in Other Settings under the PROJECTS section of the settings (gear icon) when viewing All Workspaces. When enabled, text in the Notes and Description fields are truncated after approximately 4 rows (showing "..." at the end) to conserve vertical space. The full text of these fields can be seen upon hovering over the field.
When not enabled, the full text of the fields is displayed, with the field height expanding vertically as much as needed to show the full contents.

Delete Tasks with Time Entries

This setting is found in Other Settings under the PROJECTS section of the settings (gear icon) when viewing All Workspaces. By default, tasks with time entries can be deleted. When disabled, tasks that have time entries will not be allowed to be deleted until all existing time entries have been deleted.

Expiring User IDs

This setting is found in Security under the GLOBAL section of the settings (gear icon) when viewing All Workspaces. If a user has not logged in to Workzone within the past 30 days, the user account will be disabled.

Expiring Passwords

This setting is found in Security under the GLOBAL section of the settings (gear icon) when viewing All Workspaces. All users need to reset passwords every 90 days.

Disable User-Specific Cookies

This setting is found in Security under the GLOBAL section of the settings (gear icon) when viewing All Workspaces. Requires that users log in manually each time they access the system (including using emailed links to documents).

Enable Copy to Different Workspaces

This setting is found in Other Settings under the DOCUMENTS section of the settings (gear icon) when viewing All Workspaces. If enabled, in Documents, users can copy folders and documents from one workspace to another.

Enable PDF Thumbnails

This setting is found in Other Settings under the DOCUMENTS section of the settings (gear icon) when viewing All Workspaces. If enabled, in Documents, Workzone automatically creates thumbnail image of first page of PDF documents; if disabled, Workzone shows the PDF icon.

Disable Delete Confirmation

This setting is found in Other Settings under the WORKSPACES section of the settings (gear icon) when viewing All Workspaces. When deleting a workspace, this removes the requirement to type in the message: ‘PERMANENTLY DELETE [WORKSPACE NAME]’.

Disable User Pictures

This setting is found in Other Settings under the USERS section of the settings (gear icon) when viewing All Workspaces. By default, users can upload a picture to substitute for their initials next to comments they make. When disabled, initials will show for all users.

NOTE: As a usually helpful preventative measure, only enable this for short periods of time, when you have a large of number of workspaces to delete.

Inherit Folder Structure

This setting is found in Other Settings under the DOCUMENTS section of the settings (gear icon) when viewing All Workspaces. If enabled, when creating a new workspace, users will have the option to reuse the folder structure from an existing workspace
