Tagging Projects

Project tags in Workzone are colorful, descriptive labels that are attached to projects in order to classify and organize them. They make it easy to color-code and locate work, improve collaboration, ensure consistency, and provide valuable insights.

Setting up and editing tags

By creating a standard set of tags, you can ensure that projects are classified consistently across your organization, which can help to reduce confusion, improve collaboration, and make it easy to share projects across teams and departments. Administrator and Manager users can set up tags by clicking the settings (gear icon) in the top right corner for All Workspaces, then click Tags under the Projects section.

On this page, you can determine how tags will display by making one of three selections:

To create a new tag, use the Create a new project tag section. Enter the new tag's name in the Tag Name field, click the "swatch" rectangle under Tag Color to specify the color, and click the Create Tag button.

Alternatively, you can also create multiple tags at once by clicking the create multiple link shown above. In the Create Multiple Tags overlay, type or paste lines separating each new tag and click the Create Project Tags button.

Color details for tags created this way will initially have a default navy blue color, though this can be edited later. Near the bottom of the page is a table listing the tags that currently exist in Workzone.

To delete a tag from Workzone altogether, click the x icon that appears next to a tag's name when hovering over the name with your cursor, then click OK in the confirmation box. Renaming a tag or changing it's color is done by clicking the pencil icon that also appears on hover or the "swatch" rectangle under the COLOR column.

In the Edit Tag overlay, click and edit the text in the Tag Name field or change the color by clicking the "swatch" rectangle and making a new selection. Click the Save Changes button when done.

Tags can also be created directly on an existing project and, if enabled, for new projects, as described in the next section below.

Tagging a project

Tags can be placed on new or existing projects. For new projects, an Administrator will need to initially check the Tags box on the Fields to Display page in settings. Once enabled, when creating a project, the name of one or more tags can be entered or selected using the Tags field, shown here:

For existing projects, tags can be implemented using the Edit tags link, found in the details tray of a project or by clicking the three vertical dots (︙) to the left of a project's name in the main Projects view:

In the Edit Tags overlay that appears, you can enter or select one or more tags in the Tags field, then click the Save button.

When implementing tags, you can also add new tags into Workzone if they don't already exist by clicking the Create new tag link shown above, then entering the details of the brand new tag in the Create New Tag overlay and clicking the Done button.

If a project already has at least one tag displaying in the main Projects view, you can click on an already placed tag in the project's title row to remove or place tags directly on that project.

NOTE: One project cannot be set with more than ten tags.

Filtering for and analyzing tags

When projects have tags, it becomes easier to quickly focus on and locate them. To filter for specifically tagged projects, you can click the Filter button in the top left of the main Projects area, then click the  Add Project Filter link and choose Tags from the Select a column dropdown. You can then choose from different operators (equals, contains, etc.) and enter the text to filter. Click Apply Filters when done.

In the table for editing tags described in the section above, columns such as CREATOR, LAST USED, LAST USER, and COUNT for project tags can provide valuable insights into your work. By analyzing the tags that are most frequently used, you can gain a better understanding of that which is most important to your organization. This can help you make better decisions and improve your business processes.
