Comment Subscriptions

To proactively communicate with other users of your Workzone site, while also maintaining an easy reference of those past communications, Workzone has a commenting feature available on items such as documents, projects, and requests.

Users can be subscribed and receive automatic notification of any new comments added. Comments are displayed near the bottom of the details tray for that item (clicking on the name of a task in the main view of Projects, for example). If a user is subscribed to a project, they will receive notification of comments on that project's attachments, and task subscribers also receive notifications from items attached to that task.

• When entering text into the “Add a comment” box, you can click the + icon underneath to add a user to the list of those that will receive a notification of the newly added comment.
• Users already listed at the bottom will automatically receive notification of any new comments (for the item currently being viewed). This list can include users already assigned as Responsible.
• Checking the Hide System activities box will hide comments displaying actions taken (Item name changes, etc.). When shown, these lines are gray in color.

An Administrator can change the settings for your Workzone site to disable the “Auto-Email Comments to Subscribed Users” feature. If your site has this disabled, the subscribers area described above will not be displayed. You can Mention a User to have a specific comment sent in a notification.

All of the subscribing and notification features are replaced with a single “Send e-mail notification” check box. If you add a comment while this item is checked, Workzone will provide an opportunity to send a one-time-only email containing the added comment to the users specified. In this situation, no users will be subscribed, meaning that no automatic emails will ever be sent from any commenting.
